The short version
- MartinSoft is responsible for your personal data in Notiqer.
- We use your data to run the Service - your account, your notes, payments and support. We do not sell it and we show no ads.
- Your recordings and notes are processed by trusted providers, including AI providers, only to make your results. We do not use them to train AI models.
- There is no analytics, advertising or tracking on our website or in our apps.
- You can see, export and delete your data, and delete your account with everything in it, at any time.
- Questions or requests about your data: support@notiqer.com.
1. Who is responsible for your data
The controller of your personal data is MartinSoft, Stanisława Taczaka 24/103, 61-819 Poznań, Poland, tax ID (NIP): 7642436375 (“we”, “us”), which provides Notiqer.
For anything about your personal data, write to support@notiqer.com. You can also reach us at martinsofcik@gmail.com.
This policy covers Notiqer wherever you use it: the website notiqer.com, the web app at app.notiqer.com, the mobile apps for iOS and Android, and the browser extension (together, the “Service”). How you may use the Service is set out in our Terms of Service.
2. What data we process
Your account. Your email address, your name and profile photo if you add them, and your language and other settings. If you sign in with Google or Apple, we receive from them an identifier of your account, your email address and, if they share it, your name.
Your answers when you start. Your line of work, how many meetings you have, your age range (you can choose not to say) and where you heard about us.
Your content. What you add to the Service - recordings, audio and video files, links, documents, notes, your questions - and what the Service makes from it for you: transcripts, summaries, tasks, translations, recordings read aloud, flashcards and quizzes. From a video file, only its sound and one picture of it are kept. Also the people you add (their names and, if you add one, a photo), which speaker in a recording is who, and the notes you share by link.
Your plan and payments. Your plan and its periods, the minutes you use and your purchases. Card and other payment details are entered with Stripe, Apple or Google, not with us: we receive only what we need to know that you have paid, and an identifier of your customer account with Stripe.
Technical data. Records of requests to our servers (what was asked for, when, and whether it worked), your IP address, the type of device, system and app version, and records of the work done for your notes (for example which kind of AI processing ran, when, and whether it succeeded). We use them to run the Service, keep it secure and fix problems.
Messages. The emails we send you, such as sign-in codes, and what you write to us.
On your device. The mobile app keeps a copy of your notes on your phone so you can read them offline, and keeps a recording you finish offline until it can be sent. It shows reminders of your tasks as notifications on the phone, if you allow them. The browser extension keeps its settings and its connection to your account in the browser.
Other people in your content. A recording or a note can include other people - their voices, what they said, their names. We process this data on your behalf, only to provide the Service to you. We do not create voice profiles or recognise people by their voice: you name the speakers yourself.
Our website. When you visit it, our servers process your IP address and the pages you request in order to show them. If you use a free tool on the website, the text you paste is used only to make that result and is not linked to any account.
3. Why we process it, and on what legal basis
- To provide the Service - your account, storing your notes, making transcripts, summaries and other results, keeping your devices in sync, sharing, reminders and support. Basis: the contract with you (art. 6(1)(b) GDPR).
- To handle your plan and payments - basis: the contract; and to keep accounting and tax records - basis: our legal obligation (art. 6(1)(c) GDPR).
- To keep the Service secure, prevent abuse (for example by limiting how often a sign-in code may be asked for), find and fix errors - basis: our legitimate interest in a secure, working Service (art. 6(1)(f) GDPR).
- To tailor the Service to you, for example examples and summaries for your line of work - basis: the contract; and to understand, in summary form, who uses the Service and how people find it, so we can improve it - basis: our legitimate interest.
- To establish, exercise or defend legal claims - basis: our legitimate interest.
- Notifications on your phone appear only if you allow them in your phone’s settings, and you can turn them off there at any time.
Giving us your email address and the answers when you start is needed to create and set up your account; without them we cannot provide the Service. Everything else you add is up to you. We will not send you marketing emails without your consent.
4. Your content and AI
To make your results, your content - recordings and the text of your notes - is processed by AI models of the providers listed below. They process it on our behalf, as our processors, only to produce the results for you. The text of your notes is also prepared so that you can search them and ask questions across them.
We do not use your content to train AI models, and our AI providers may not use it to train theirs under the terms on which we use them.
Results are produced automatically and can contain mistakes; see the Terms of Service. The Service does not make decisions about you that have legal or similarly significant effects.
If you use the Service for your organisation and process other people’s data in it, your organisation is responsible for that data and we process it on its behalf. If it needs a data processing agreement with us, write to support@notiqer.com.
5. Who we share it with
We do not sell your personal data. We share it only with:
Providers who process it on our behalf, under contracts that oblige them to protect it and use it only for us:
- our hosting provider - the servers on which the Service runs and your data is stored;
- OpenAI - AI models that write summaries, tasks, answers, suggested questions and translations, and recognise speech;
- Google (Gemini) - AI models that write summaries, tasks, answers, suggested questions and translations, recognise speech and read text aloud;
- AssemblyAI - speech recognition;
- ElevenLabs - speech recognition and reading text aloud;
- Anthropic - AI models that write summaries, tasks, answers, suggested questions and translations;
- Google (Firebase Authentication) - signing in;
- Stripe - payments on the web;
- RevenueCat - handling purchases made in the mobile apps;
- Resend - sending emails, such as sign-in codes.
Companies that act on their own account: Apple and Google, when you buy through the App Store or Google Play or sign in with your Apple or Google account, and payment card schemes and banks for payments. Their own privacy policies apply.
People you share with: when you share a note by link, whoever has the link can see it.
Authorities, when the law requires us to, and a buyer of our business, if it is ever sold or merged - we would tell you before your data became subject to a different privacy policy.
6. Transfers outside the European Economic Area
Some of our providers are based in the United States or process data there. We transfer data to them only with safeguards required by the GDPR: on the basis of the European Commission’s adequacy decision for the EU-U.S. Data Privacy Framework where the provider is certified under it, and otherwise on the basis of the standard contractual clauses approved by the Commission. You can ask us for a copy of these safeguards.
7. How long we keep it
- Your account data and content - as long as you have an account. When you delete your account, we delete it, except for the short record described below. If a paid plan ends and you do not choose a new one, we delete the account with its content no sooner than 60 days after the plan ended, after telling you by email.
- A record of a deleted account - its email address, name, identifiers (including its customer ID with our payment provider), when it was created and deleted and how, its last plan, how many notes it had and what its AI processing cost; none of its content - for 5 years after the account is deleted, for accounting, complaints and possible legal claims, and then we delete it.
- A note you delete - its files are kept for up to 30 days, so that a mistake can still be undone with our help, and then deleted. In the settings you can have notes older than a period you choose deleted automatically.
- Sign-in codes - 10 minutes, and only in a form from which the code cannot be read.
- Records used to limit how often something may be asked for - up to an hour.
- Payment and accounting records - as long as tax and accounting law requires us to keep them, usually 5 years from the end of the year in which the payment was made.
- Technical records - for the limited time needed for security and fixing problems.
- Messages with us - as long as needed to handle your matter, and then as long as legal claims about it may be raised.
8. Your rights
Under the GDPR you have the right to:
- access your data and receive a copy of it;
- have your data corrected;
- have your data deleted;
- restrict how we process your data;
- receive the data you gave us in a structured, machine-readable format and have it passed to someone else (data portability);
- object to processing based on our legitimate interest, for reasons relating to your situation;
- withdraw your consent at any time, where processing is based on it, without affecting what was done before.
Much of this you can do yourself in the app: change your details, export notes, delete notes or your whole account. For anything else, write to support@notiqer.com. We will answer within one month, and may ask you to confirm it is you before we act.
You can also lodge a complaint with a data protection authority, in particular in the EU country where you live or work, or where you think your rights were infringed. The authority that supervises us is the Polish Personal Data Protection Office (uodo.gov.pl).
10. How we protect it
Connections to the Service are encrypted. Your files are reached only through links that expire after a short time. We keep no passwords: you sign in with Google, Apple or a code sent to your email. Access to personal data is limited to the people who need it to run the Service. If a breach ever puts your rights at risk, we will tell you and the supervisory authority as the law requires.
11. Children
The Service is for people who are at least 16 years old. We do not knowingly collect data of younger children; if you think a child has given us their data, write to support@notiqer.com and we will delete it.
12. Changes to this policy
When we change how we process your data, we update this policy and the date at the top. We will tell you about important changes by email or in the app before they apply.
